IMLA Launching Partnership with AIA to Make CCDI Documents Available FREE to IMLA Members Who Have AIA License

Overview

The IMLA is pleased to announce the launch of its online platform for making the results of the Construction Contracts Documents Initiative (CCDI) available to IMLA member communities* who have a license to use the AIA documents. This web-based platform is the result of a new partnership between the AIA and the IMLA.

Within the IMLA, an extensive team of experienced local government attorneys has developed suggested modifications to the AIA A201 and B101 family of documents for use by local government project owners. This committee was made up of member attorneys and construction industry professionals including architects and engineers whose practices involve protecting local government owners from the risks of construction projects. Through the collective wisdom of these local government attorneys and under the guidance of a dedicated IMLA CCDI Committee, these suggested modifications have been incorporated into the IMLA’s CCDI-edited versions of the AIA A201 - 2007 (“General Conditions of the Contract for Construction”) and the AIA B101 – 2007 (“Standard Form of Agreement Between Owner and Architect”).

With the launch of this collaboration with the AIA, the IMLA CCDI-suggested modifications are now available free to IMLA local government members who have a license to use the AIA documents.  A local government member can access these modifications through the IMLA website and the AIA.  These suggested modifications are only available to IMLA members, and can only be distributed to members who have purchased a license to use the underlying AIA documents.

 *IMLA's CCDI project, the suggested modifications to construction contracts, is available to member communities, but not to other members of IMLA. For example, associate members will not receive this benefit as a part of their membership; however, if an associate member represents a local government or a number of local governments, IMLA's membership department will work with the associate member to arrange for the cities they represent to become members at attractive rates. By subscribing the client local government to IMLA membership, the associate member becomes a full member and the client can obtain the discounts offered by BMI for music licenses and the client can gain the benefit of the IMLA construction document suggested modifications.

Instructions for International Municipal Lawyers Association (IMLA) Members
CCDI DOCUMENTS ARE ONLY AVAILABLE TO IMLA MEMBERS

This document provides instructions for IMLA members who:

(1) do not have a current subscription for the desktop software, and want to purchase a Documents on Demand Plus single document online subscription.
(2) have a current subscription for the desktop version of AIA Contract Documents software;
(3) do not have a current subscription for the desktop software but want to purchase one;


 

  1. IMLA members without desktop software who want to purchase an online Documents on Demand Plus single document subscription on the online software (ACD5)

a. a. First, you will need to purchase an AIA online single document subscription: HERE. You will need to complete this transaction and provide proof of this purchase before the IMLA representative can send you the IMLA-edited AIA document. Purchasing instructions below:CCDI image 1

Important note:  Please purchase the respective AIA Contract Document for the IMLA-edited document you intend to use.  For example, if you intend to use the IMLA recommended edits for the A201, you should purchase the A201 document; if you intend to use the IMLA recommended edits for the B101, you should purchase the B101 document.

b. The purchase process requires that you create an AIA.org account if you don’t already have one, or to log in with your AIA.org account if you do have one.

c. After your purchase, you will need to demonstrate to the IMLA that you have purchased from the AIA this single document subscription. Please fill out and submit the certification form under the tab “IMLA Certification Form” above. The IMLA representative will then email you a document with the IMLA-recommended edits.

d. If you are new to online AIA Contract Documents software, there are weekly introductory webinars. SEE details.

e. Log in to the online software (ACD5) and go to the project pane. Create a project. You don’t need to enter data for all the optional data fields in the project.

f. Create a draft for your document

g. Save and download your document as Word document.

h. Using the document with the IMLA-recommended changes, edit your AIA draft as needed using your Word application. When your edits are substantially complete, log in to the online software (ACD5) and go to the project pane.

i. From the project tab in ACD5, click on the Import button to upload your IMLA-based draft Word document into ACD5.

j. You have a choice to edit this document with the online editor or to continue editing it with your offline Word application. You can do either or a combination of both.

i. If you choose to transform the document to the online format, you can use all of the other ACD5 features;
ii. You can also keep the document in Word format.

k. Generate a PDF Checked Draft Version to examine how your final document will appear in the final version.

l. You can finalize the document from either the project pane or the online editor.

Important note: with a Documents on Demand Plus license, you can only finalize your draft document once, and you have one year after your purchase of the documents to finalize it. Take advantage of the free variance check feature to preview how your document will appear as a final document.

2. IMLA members with a current subscription for AIA desktop software

a. First, you will need to demonstrate to the IMLA representative that you have a valid license for AIA Contract Documents Software Please fill out and submit the certification form under the tab “IMLA Certification Form” above.  For instructions on how to purchase this license, please see part three (3.) below.

b. The IMLA representative will email you a document with the IMLA-recommended edits  (The IMLA representative will only send the file if the representative has received the electronically signed certification that the IMLA member has a valid license for AIA Contract Documents Software).

c. Go to your AIA desktop software, and create a draft of the needed AIA document.

d. Using the document with the IMLA-recommended changes, edit your AIA draft as needed using your Word application

TIP: You will save time if you convert your AIA draft with the IMLA recommended edits into a custom template. To do so, go to the project pane and right click your AIA draft  that you modified with the IMLA recommended edits. You will see the following options (SEE image at right hand side). Select “Customize As Template.” You can then use your IMLA Custom Template as the basis for all your future drafts.

3. IMLA members without a current desktop software subscription who want to purchase one

a. Go to AIA.org to purchase a desktop software subscription.

i. If you plan on using four (4) or fewer AIA Contract Documents in the 12 months after purchasing your license, select the Docs 100 license;
ii. If you plan on using 5 – 12 documents in the 12 months after purchasing your license, select the Docs 300 license;
iii. If you plan on using 12+ documents in the 12 months after purchasing your license , select the unlimited license.

b. If you are new to AIA Contract Documents software, there are weekly introductory webinars. SEE details.

c. Once you have downloaded and activated your software, follow the steps as detailed in Number 2 above.
